Privacy Policy

Effective date: August 24, 2026

This Privacy Policy explains how Adpals collects, uses, shares, protects, and retains information when you visit our website, contact us, schedule a meeting, or work with us.

1. Information we collect

You may provide information such as your name, company, business email address, phone number, website, city, discussion topic, messages, and preferred meeting date and time.

During a business relationship, we may also maintain lead and opportunity details, meeting notes, project information, proposal responses and messages, agreements, document metadata, and related business records.

We may collect limited technical and activity information needed to operate and secure our services, including request and server-log information, IP-derived security identifiers, and proposal view or download activity where applicable. IP-derived identifiers reduce direct exposure of an IP address but should not be considered fully anonymous.

2. How we use information

We use information to respond to inquiries, schedule and prepare for meetings, provide proposals and services, manage projects and customer relationships, maintain business records, protect our systems from abuse, and improve our operations.

We use email for contact responses, appointment confirmations, proposals, follow-ups, and project or customer communications.

Adpals does not sell personal information.

3. Website research and artificial intelligence

To prepare for requested meetings or services, Adpals may review pages that are publicly available on a business website. Private or authenticated pages are not intentionally accessed, and requests to private or reserved network addresses are blocked. Research helps us prepare for business conversations and identify potential technology needs.

Relevant public website content and business context may be processed by OpenAI to help summarize company information, prepare pre-meeting research, identify discussion topics, analyze notes, and draft internal summaries or communications. We do not intentionally submit passwords, API keys, payment-card data, OAuth tokens, or similar secrets for AI processing. AI-generated material is reviewed where business judgment is required and does not automatically establish pricing, legal terms, contracts, financial commitments, or other binding decisions.

4. Scheduling and Google Calendar

Adpals may use Google Calendar to determine whether appointment times are busy or available. Public scheduling does not expose private calendar event details or the identity of the connected calendar. Booking details are stored by Adpals, and appointment communications are sent by Adpals.

5. Proposals and customer interactions

When you view or respond to a proposal or other customer document, we may record timestamps, responses, requested changes, acceptance or decline actions, messages, rate-limit and replay-protection information, and view or download activity where applicable. These records support delivery, security, and an accurate history of the interaction.

6. Cookies, logs, and security information

Our public marketing pages use Google Analytics to understand page usage, traffic sources, website performance, and aggregate visitor interactions. Google Analytics may receive limited device and usage information under Google’s applicable terms. We do not intentionally send names, contact details, form messages, appointment topics, or customer records to analytics.

Secure session cookies are used in restricted administrative areas for authorized users. We also maintain operational and security logs to diagnose errors, enforce rate limits, prevent abuse, and protect our systems.

7. Service providers

We use service providers where needed to operate our business, including Google Calendar for scheduling availability, OpenAI for assisted research and drafting, and providers for website hosting and email delivery. These providers process information on our behalf or under their own applicable terms. We may add or replace providers as our services evolve and will update this policy when a change is material.

Adpals does not currently collect payments through this website. If payment processing is added later, payment information may be handled directly by a payment provider under its own privacy practices.

8. Information retention

We retain information only for as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining business and security records, resolving disputes, and meeting legal obligations. Retention periods vary based on the type of information and the relationship involved. Information may be deleted, anonymized, or retained longer when required by law or needed to establish or defend legal claims.

9. Information security

Adpals uses reasonable administrative, technical, and organizational safeguards. Depending on the system, these safeguards include HTTPS, authenticated administrative access, secure sessions, request-forgery protection, prepared database queries, rate limiting, private secret storage, controlled document access, upload validation, and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Your choices and requests

You may ask to access, correct, or delete personal information associated with you by emailing automate@adpals.com. We may need to verify your identity before completing a request. Some information may be retained when required by law or for legitimate business purposes such as security, fraud prevention, recordkeeping, or legal claims.

11. Children’s privacy

Adpals services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13.

12. Changes to this policy

We may update this policy as our services or practices change. The effective date at the top of this page identifies the latest version. Material changes will be reflected here.
