Finance operations technology

Move invoices through a controlled process—not a chain of inboxes.

Adpals designs and integrates the technology workflow around accounts payable: receiving invoices, extracting information, matching records, routing approvals, handling exceptions, and passing approved data to the accounting system. Adpals does not provide accounting, bookkeeping, tax, or banking services.

CURRENT STATEOPERATIONAL REVIEW

Common signs the process needs attention

01Invoices arrive through several channels
02Header and line data is keyed manually
03PO and receipt information is searched separately
04Approvals happen in long email threads
05Duplicate or incomplete invoices are hard to spot
06Audit support requires assembling records afterward
The operational problem

Invoice handling becomes expensive when every document needs the same manual attention.

Invoices may arrive by email, upload, mail, or vendor portal. Employees rename files, read fields, search for vendors and purchase orders, ask for approvals, enter accounting records, file documents, and answer status questions.

An AP automation system can organize that work into a controlled intake and review flow. Straightforward invoices move predictably; missing, conflicting, or duplicate information is presented as an exception for a person to resolve.

Clear definition

What is accounts payable automation?

Accounts payable automation is the technology workflow used to capture vendor invoices, extract and validate data, match supporting records, route accountable approvals, synchronize approved information, and retain status and audit history.

Example workflow

Representative invoice processing flow

Capabilities depend on the accounting platform, purchasing data, document quality, and company controls. Adpals designs and implements the workflow; finance personnel remain responsible for accounting decisions.

  2. 02Email / upload intake
  3. 03Data extraction
  4. 04Vendor / PO matching

What can be designed and implemented

Capabilities shaped around the actual operation.

01

Invoice capture

Collect supported invoice documents from defined email, upload, or storage channels.

02

Data extraction

Read proposed vendor, invoice, date, totals, PO, and line information for validation.

03

Matching and validation

Compare the invoice with vendor, purchase order, receipt, and policy data when available.

04

Approval routing

Present the document and supporting context to authorized employees.

05

Exception queues

Separate missing, conflicting, duplicate, or low-confidence cases for review.

06

Accounting integration

Pass approved, validated information to a supported accounting workflow and retain status.

Representative use cases

Where the work becomes concrete.

  • Centralize invoices from monitored intake channels
  • Flag likely duplicates before downstream entry
  • Route non-PO invoices by department and amount
  • Compare invoice data with available PO and receipt records
  • Store the source document with processing history
  • Report invoices waiting on review or approval
Systems that may connect

Keep useful platforms in place.

  • Accounting and ERP platforms
  • Purchasing and PO systems
  • Email and document intake
  • Cloud document storage
  • Identity and approval tools
  • Custom operational systems
Relevant operations

Built for multi-step work.

  • Manufacturing
  • Distribution
  • Warehousing
  • Construction and trades
  • Multi-location businesses
  • Professional services
Implementation approach

Define the rules before automating the work.

Adpals starts with the process, data, responsibilities, and exceptions. Technology follows those operating decisions.

What remains under human control

✓People approve accounting treatment and payment decisions
✓Low-confidence extraction pauses for review
✓Duplicate checks run before record creation
✓Source document remains linked to the workflow
✓Permissions separate intake, approval, and administration
  1. 01

    Review invoice reality

Sample actual formats, intake channels, PO coverage, approval rules, and common exceptions.

  2. 02

    Define authoritative records

Identify where vendor, PO, receipt, coding, and final accounting status belong.

  3. 03

    Pilot a controlled segment

Begin with a suitable invoice group and measure extraction, matching, and exception quality.

  4. 04

    Expand with evidence

Add formats, entities, rules, and integrations only after the earlier flow is dependable.

Typical deliverables

A system the team can operate and understand.

Exact scope depends on the process and platforms. A well-run engagement commonly produces the following working materials and outcomes.

01Invoice intake and document map
02Field extraction and confidence design
03Matching and validation rules
04Approval and exception workflow
05Accounting integration where supported
06Audit, reporting, and operating documentation
Frequently asked questions

Practical questions before a project starts.

Does Adpals perform bookkeeping or approve invoices?

No. Adpals builds and integrates the technology workflow. The client’s authorized finance personnel retain responsibility for accounting treatment, approvals, payments, tax matters, and banking activity.

Can every invoice be processed without review?

That should not be assumed. Document quality, vendor formats, missing purchase orders, policy exceptions, and matching differences can require human review. A good system makes those cases clear.

Can invoice data be extracted from PDFs?

Often, yes. The appropriate method depends on whether documents contain embedded text, scans, tables, handwriting, or inconsistent layouts. Extracted fields should be validated before consequential actions.

Can the workflow connect to our accounting system?

Potentially, through a supported API, import, integration platform, or controlled handoff. Feasibility depends on the specific product, edition, access, and required transaction.
